Outgrowing your parts inventory spreadsheet
Summary: A spreadsheet is where most parts lists start, and it works well for a while. It starts to struggle once you have hundreds of parts, buy and sell regularly, or share the shelf with someone else. NiftyForger keeps the same list, and adds the things a sheet can't do on its own.
Where a spreadsheet struggles
- Finding a part. Was it "10k 0603", "10K 1/10W SMD" or "R 10000 0603"? Free-text names drift, and search misses half of them.
- Keeping counts right. Every order received and every build means editing cells by hand, and one missed edit puts the count wrong.
- Knowing whether you can build. Checking a parts list against stock is a lookup formula that breaks when a row moves.
- Sharing. Everyone who can edit the sheet can edit everything in it, and one stray sort or paste can scramble the counts.
What you gain
- Parts described by what they are. Each category has its own attributes (resistance, package, tolerance), so a 10k 0603 resistor is entered one way and found one way.
- Stock that follows your orders. Receive a purchase order and the parts are added to stock; sales orders track what still has to ship.
- Assemblies. List what goes into a build and see whether you have the parts before you start.
- Low-stock warnings. Set a minimum for a part and see when it drops below.
- A team on one list. Invite people with the access their role needs.
- Your data stays yours. Download everything in your workspace whenever you like.
Bringing your sheet across
Hand it to Lily, NiftyForger's built-in assistant. Paste rows from your sheet, attach it saved as a PDF, or take a photo of a printout. She drafts the categories, parts and stock, matches what you already have, and asks when she isn't sure. Nothing is saved until you've checked her plan and applied it.
